If you are the person who just inherited chemical purchasing at a smaller industrial company, keep this checklist somewhere handy. I'm not a chemist or a safety engineer. I'm the admin buyer for a 140-person site with two buildings. I buy fuel additives for standby generators, caustic cleaners, solvents, adhesives, and the occasional fire-extinguisher refill. It's roughly $1.2 million a year spread across 15 vendors, and I answer to operations and finance. When I took over purchasing in 2021, this part of my job was a mess. People ordered based on price per gallon and hoped the product would work. I got better after a few invoices were rejected, and after a 'diesel additive' question I couldn't answer. Here is the six-step checklist I use now.
Step 1: Verify the actual manufacturer before you request a quote
If a supplier can't name the original manufacturer and product code, that is a complete stop for me. I don't care how attractive the price is. An unbranded drum of 'universal diesel additive' is a liability. It might be perfectly fine, but without traceability you can't verify the SDS, you can't check product recalls, and you can't prove to your own safety team what you bought.
How do I check? I go to the official manufacturer's site. For example, I use the Innospec official homepage when I need to verify an Innospec diesel additive. If the product is genuinely made by Innospec, I expect to find it listed under the company's own product portfolio, not only on a distributor's PDF. The official page should show the correct product family, commercial name, and a way to request technical data. When I see a product code floating around that doesn't match anything on the official homepage, I treat it as a red flag.
This is not about rejecting distributors—some of mine are great. It's about making sure I know exactly what I'm buying. In 2024, a supplier offered me a 'new package' of diesel additive at a discounted price. The code didn't appear anywhere on the manufacturer's official site. I passed. Dodged a bullet, honestly.
Step 2: Get the SDS before the purchase order—not after
No SDS, no PO. That's my rule for anything labeled hazardous. According to OSHA's Hazard Communication Standard, suppliers need to provide a safety data sheet when a hazardous chemical first ships. But I don't want to chase that document later. I want it attached to the quote while I can still say no.
Make the request specific. For example, if I'm buying caustic solution, I write: 'Please include the current SDS for all hazardous products. For sodium hydroxide-based products, send the SDS sodium hydroxide safety data sheet that matches the exact concentration you are quoting, not a generic version from another product line.' That last part matters. An SDS for 10% sodium hydroxide is not the same as an SDS for 50%. I've seen orders show up with the right SKU on the drum and the wrong safety sheet attached. That creates a messy day.
A real SDS should follow the familiar 16-section format. If someone sends a one-page cut sheet and calls it a safety document, send it back. I don't have hard data on industry-wide practices, but based on my own orders, probably a quarter of first-time suppliers initially send an incomplete document.
Step 3: Read sections 2, 7, 9, 10, and 11 before you approve anything
This is the step I almost skipped until I realized I could read an SDS without becoming a chemist. Section 2 summarizes hazard classification. Section 7 gives handling and storage guidance. Section 9 lists physical properties like flash point. Section 10 covers incompatible materials. Section 11 gives toxicological information. If you only look at the price box and the product name on the SDS, you're missing the whole point.
When I review an SDS for sodium hydroxide, I look for which materials are incompatible with the product and what first-aid actions are listed. When I review an SDS for methanol or ethanol, I check flash point and toxicity warnings. You don't need to interpret every line. You just need to make sure the document doesn't contradict what the plant is actually going to do with the product.
If I can't understand a section, I call the manufacturer or ask the supplier for an explanation. If they can't explain it, that tells me how much support I'll get later.
Step 4: Don't assume methanol and ethanol are interchangeable
Methanol and ethanol are both alcohols, but they are not equivalent substitutes. Methanol is CAS 67-56-1. Ethanol is CAS 64-17-5. They have different toxicity profiles, different solvency behavior, and different regulatory treatment. Methanol can be toxic through ingestion, inhalation, and skin absorption. Ethanol is flammable too, but it has a different set of regulations and handling concerns.
I ran into this in 2024 when a supplier suggested methanol as a 'drop-in replacement' for ethanol to save money. Maybe it works for one narrow application. It is not a generic swap. If a requisition says ethanol and someone tries to substitute methanol without a safety review, that's not a purchasing shortcut—that's a process change. When reading an SDS, verify the exact chemical name and CAS number. If the label just says 'alcohol' or 'solvent blend,' ask more questions before ordering.
Step 5: Ask the use question: How does contact adhesive work?
My favorite filter for a new supplier is to ask them to explain how a product works in plain language. Suppose I need contact adhesive for bonding rubber, metal, or laminated panels. I ask directly: how does contact adhesive work? The right answer is something like this: it contains a polymer dissolved in solvent. You apply adhesive to both surfaces, let the solvent flash off until the films are tacky, then press the surfaces together. The bond forms quickly and strongly because the polymer films grab each other.
If the answer is just 'it's sticky glue,' that tells me the person on the other side can't help me when something goes wrong. The same question applies to fuel additives. What problem does this additive solve? What fuel specification does it meet? What is the recommended treat rate? If I hear vague promises instead of specifics, I keep looking.
Step 6: File the SDS, product code, lot number, and PO number together
Digital efficiency is your friend. In 2023, my safety coordinator asked me to trace a solvent used in the repair shop. Before that, SDS files were scattered across email threads and physical binders. It took me half an hour to find the right sheet. After that, I changed our process.
Now every new product goes into a shared folder with the supplier name, product code, SDS effective date, PO number, and delivery location. The PDF is named with the product code and manufacturer name. This saved us more than once. During our 2024 vendor consolidation project, we cut research time from hours to minutes by using clean digital files.
Start the folder before you need it, not after the audit request arrives. I also learned to check expiration dates on products and SDSs. Supplying an outdated SDS is common when a new product has been sitting in a distributor's system for years.
Final checks before I click approve
The first thing I check is simple traceability: can I find this product on the manufacturer's official source? Next, do I have the current SDS for the exact product and concentration? Then I confirm the chemical name and CAS number on the label match the SDS. I also make sure the supplier can explain the application in normal words—whether that's a fuel additive, a solvent, or a contact adhesive.
One more admin-buyer warning from personal experience: if a vendor cannot produce a proper invoice, do not trust a handwritten receipt. I lost $2,400 once because finance rejected a vendor invoice and I had to cover the expense from the department budget. It was a stupid lesson and I won't repeat it. The cheapest quoted product is rarely the cheapest total cost once invoice problems, shipping delays, missing SDSs, and disposal fees are added.
